Project Operations Manager

Role Overview:

We’re seeking a sharp and resourceful Project Operations Manager to drive consistency, accountability, and execution across our project lifecycle—from RFP intake to post-award handoff. This role is ideal for someone who thrives in a fast-paced, ever-evolving environment and finds satisfaction in making systems run smoother.

Key Responsibilities:

Project Workflow Management

  • Maintain and refine task workflows in Asana, ensuring alignment across Services, Projects, and Admin teams
  • Track progress against deliverables and deadlines; drive follow-through with daily check-ins, weekly reporting, and “we’re slipping” alerts
  • Ensure all projects follow CSW’s internal process gates: intake, review, submission, and handoff

RFP Process Leadership

  • Manage the full RFP process—from intake and assignment to review, compilation, submission, and post-submission follow-up
  • Serve as the conductor across departments to collect scopes, pricing, exhibits, and other critical documents.
  • Track win/loss outcomes and feedback to improve our bid strategy over time

Client Coordination

  • Act as the primary operational liaison for client deliverables, milestone reminders, and document requests
  • Track project commitments, ensure timely delivery of materials, and help prep team members for client touchpoints
  • Maintain impeccable records of communications, file transfers, and document approvals

Administrative Execution

  • Oversee the document management system (Google Drive or equivalent), ensuring all project records are current and clearly organized
  • Support invoicing coordination by tracking deliverables, milestones, and approved scopes
  • Manage compliance documentation, e-signature workflows, and ongoing updates to internal SOPs

Requirements

  • 4+ years of experience in project operations, business operations, or program management (energy or infrastructure preferred)
  • High proficiency with Asana (or other PM software), G Suite, and document formatting tools
  • Ability to lead complex workflows with multiple stakeholders and moving parts
  • Detail-obsessed, deadline-focused, and comfortable managing up when needed
  • Excellent communicator—equally confident in sending reminders as you are in summarizing a project milestone for an executive

Bonus Points If You Have

  • Experience in the energy, engineering, or construction sectors
  • Familiarity with RFP platforms, municipal procurement, or public-sector bidding processes
  • Process design or SOP writing experience

Benefits

  • Client Relationship : You will be directly working with the client. This means that you will communicate with the client, provide services, and address any client-related matters independently.
  • Payments : All payments for your services will be handled by the client. Elevate and Delegate is not involved in processing your payroll. Your salary will directly go to you.
  • Vacation Leaves and Holidays : While we may have recommendations or guidelines regarding vacation leaves and holidays, the decision is entirely at the discretion of the client. You are expected to align your schedule with the client’s business needs and any specific policies or preferences they may have in this regard.

Salary : $1300-$1800/month
