Longship Marketing is a remote-first agency helping brands grow through performance marketing and e-commerce operations. Our distributed team of 15+ professionals across Europe values flexibility, ownership, and getting things done.
You’ll be supporting operations and finance across three interconnected businesses:

Longship Marketing GmbH (the company you’ll be contracted to)

Longship Commerce GmbH – which owns our portfolio of e-commerce sites

Dx3 Services UG – which runs our ‘Dx3 Labs AI’ sister services business for AI automation
All three businesses intersect with Longship Marketing, but extend beyond a traditional marketing agency—you’ll be working with a group of companies.
We’re now hiring a part-time Operations & Finance Assistant (approx. 20 hours/week) to own our internal operations and finance processes. This is a role for someone detail-driven, experienced, and proactive—someone who brings established systems and processes, and who can work independently to improve how we operate financially.
🧾 What You’ll Do

Own the end-to-end invoicing process: create client invoices, purchase orders, and track payments

Review, process, categorize, and file contractor and vendor invoices

Manage financial communications with German tax offices, accountants, and banks

Support the bookkeeper with documentation, transaction categorisation, and reconciliation

Maintain and improve systems for financial admin and documentation management
-
Research and implement tools or methods to streamline invoicing, payments, and finance operations

Handle insurance, tax, and social security administration tasks

Prepare financial documentation and internal reports for leadership

Lead process improvement projects to optimize finance and operations workflows

Take on strategic research and analysis projects related to finance operations
✅ Requirements (Necessary)

Fluent in German & English

Based in Europe, able to work remotely across EU business hours

Proven experience in finance operations, accounting support, or operations management

Brings established systems and processes—doesn’t just complete tasks but improves them
-
Self-starter who works independently and takes full ownership of outcomes

Reliable, organised, and accurate with details—especially financial data

Comfortable using modern tools (Google Workspace, Asana, Slack)

Confident managing communications with German authorities, banks, and vendors
💡 Nice to Have

Experience in e-commerce operations or vendor management across multiple entities

Strong familiarity with German accounting, tax, or payroll processes

Active interest in automating tasks with tools like Make.com, n8n.io, or AI assistants

Knowledge of P&L tracking, budget management, or basic forecasting

Experience coordinating finance operations across multiple legal entities
-
Track record of implementing systems that reduce manual work
